Creating formatted publications reports
Generate polished, publication reports that can be saved as a PDF or exported as an editable Word document.
Formatted publication reports provide a ready-to-use overview of your filtered publication list. Formatted reports follow a consistent structure, unlike customized reports, which let you define exactly which data points to include. Instead of fields, this report includes a bibliographic citation, a direct link to the entry, and a list of included artwork alongside specific text references. This makes the formatted report ideal when you need a styled document for sharing with colleagues or external partners, such as copyeditors.
Reports can be exported either as a PDF for printing and distribution or as a DOCX file that can be opened in Microsoft Word or Google Docs for further refinement. This flexibility supports both formal documentation and collaborative workflows.
This step-by-step guide explains how to create and export your own formatted publication reports.
1. Go to the publications section and define filters.
Add the filters needed to refine the result to your desired list of publications. You can later refine filters to add more publications to the report
2. Click Create.

3. Navigate to Report and click Publication report.

4. Click the checkbox to select a publication.
You can navigate to other pages to make more selections or adjust your filters to find other publications. Your previous selection will remain active.

5. Click the checkbox at the bottom to select all on current page.

6. Click Create report.

7. Your report preview opens in a new tab.

8. Option 1: Click Print (allows saving a PDF).

9. Option 1 (continued): Define print settings.
To receive the report, you can choose between saving as PDF or printing on paper. It is recommended to define the layout and scale to ensure the report’s formatting is preserved in the final PDF.

10. Option 2: Click Download as DOCX (allows creating a Word document).
If you prefer to use the report in an editable text document, choose Download as DOCX. Download your report as a DOCX file to continue working with the text in Word, Google Docs, or another text editor.
