Managing external primary resources on the Navigating.art platform allows users to keep better track of research materials outside of their own archives. This tutorial shows how to create external primary sources as collections and subresources.
When working on a catalogue raisonné project, relevant resources are often held in external archives. The Navigating.art platform allows you to link external primary resources while keeping track of which materials belong to your own collection and which are part of external collections. This helps you efficiently manage and access both internal and external research materials through the platform. You can create new external collections or add subresources to existing ones.
1. In the archive section, click + Create collection.
When creating an external resource, either create a new external collection for it or add it as an external resource as a sub-resource to one of your existing internal collections. Jump to step 8 to create external sub-resources.

2. Enter the details of the external collection.
An overlay opens. Enter the title of the external collection and click the checkbox External primary resource. Confirm with Save.

3. The newly created external collection opens where you can add additional information.
External resources have two exclusive fields: Citation (Signature) and Holding archive permalink. Citation (Signature) documents the preferred reference for the source. Holding archive permalink captures a stable hyperlink to the holding institutes online database or finding aid. Both details are usually provided on the website of the holding institution.

4. Add the external institution as an agent.
Scroll down the detail page to the "Agents" section and click +Add.

5. Select an agent from the dialog.
Select from existing agents, import from ULAN or create a new agent. Once selected, confirm with Selcet.

6. Choose the agent role. Confirm with Save.
After selecting the agent, you have to choose a role that best describes their relation to the external source. For linking the holding institution, use the roles “archive” or “repository”. Click Save to confirm.

7. See the external institution listed as the resource’s archive on the resource detail page.
Linking the holding institutions allows you to quickly find all external sources from the same archive or institution.

8. To create recources within the collection click + Add subresources.

9. Add one or multiple subresources.
A dialog opens where you can add one or more subresources at once by clicking + Add additional subresource. Subresources within an external collection are always labeled “external.” The corresponding checkbox is selected automatically when creating a sub-resource under an external collection. For each sub-resource, select the level of description and enter a title. Click Save to confirm.

10. Add a citation and and a link.
You are directed to the detail page of the newly created subresource where you can add further information, such as a citation and a permalink to the external resource.

11. All external resources are labeled as External in both the side navigation and on their detail pages.
