Organizing publication scans with the media manager

Effectively managing your publication media is key to keeping your records organized and accessible. In this tutorial, you learn how to adjust media settings, reorder files, and update preview images to ensure your publications are clearly represented. Follow these steps to optimize your media management and enhance the overall structure of your catalogue.

1. Open the publication and click on Manage media

Below the preview image, the media counter indicates how much media is available. To open the media manager, click Manage media.

2. Display mode: List view

The publication media is displayed in list view by default. The list view contains additional details about the media, such as filename, description and link to archival resource.

3. Display mode: Grid view

Click on Grid View to switch to see the publication media as bigger thumbnails. This display mode may be more useful when setting a new preview image. Note that the media sequence can only be edited in List view.

4. Filter media by resource

If your publication media has been compiled from different archival resources, you can use this filter to view only the media of one resource at a time. In this example, all media is from the same resource. Hovering over an option will display the full title.

5. Adjust table columns

Click the three-dots icon to open the column menu. Select or deselect the columns according to your preference and confirm with Save.

7. Adjust media: Set preview image

The first media in the ist is automatically set as a preview image. If you want to choose a different image, click Set preview image in the list of action at the bottom of the dialog.

8. Select new preview image and confirm with Save

10. Adjust media: Edit media sequence

To reorder media and correct the sequence, click Edit media sequence in the list of action at the bottom of the dialog. This option is only available in the list view.

11. Enter new sequence numbers and click Save

The number fields in the column Media sequence are now activated. Click into the field and enter the new sequence number. If you want to move just one media, you only need to update this one sequence number, the remaining numbers will be adjusted automatically.

To remove all or selected media, click Remove media in the list of actions at the bottom of the dialog.

13. Select the media you want to remove and click Save

Use the checkboxes to select one or more media. To select all media, use the selection menu on the bottom left.

14. Confirm choice to remove media

The media will only be disconnected from this publication, but will still be available in the archival resource. The confirmation dialog informs you about any artwork references connected to the media. After confirming, the media connection is also removed from the reference. Since this is media was just added to the publication, no references have been connected yet.
