Assigning user roles and permissions

Assign each user a specific role to support editorial workflows and restrict editing of published information to certain people.

The Navigating.art platform has 4 user roles which you can assign to the accounts registered for your project. The user roles have different rights and restrictions based on an entries editorial status.

If multiple artist are being managed on the same platform, users can be assigned to a specific artist, restricting their editing rights to that project. 

If you are working in a very small team you might no need to cover all of these roles, but instead

Reader: the silent observer

The user role reader can – as the name indicates – only read the content on your internal platform but can't change anything. This is a good chice for guest accounts, if you want to invite someone to review your findings or if certain team members need to follow the project progress as observers.

Ideal for: Consulting scholars, project associates

Researcher: the data entry expert

A researcher user has the rights to create new entries, but has limited editing capabilities, depending on the editorial status. If multiple artist are being managed on the same platform, researchers can be assigned to a specific artist, restricting their editing rights to that project. 

Researchers CAN:

  • Edit or archive any entity that is in editorial status Draft
  • Edit or archive any entity that is in editorial status Ready
  • Edit or archive any entity with the visibility status Private

Researchers CAN'T:

  • Edit or archive entities that have been marked as Checked
  • Edit or archive entities with the visibility Public
  • Edit or archive artworks from an artists project they are not assigned to
  • Publish artwork entries

Ideal for: active & temporary researcher staff, interns or working students

Editor: the second pair of eyes

The editor user role should be assigned to people that are checking and correcting the work after the data entry phase. 

Editors CAN

  • Edit or archive any entity that is in editorial status Draft
  • Edit or archive any entity that is in editorial status Ready
  • Edit or archive entities that have been marked as Checked

Editors CAN'T

  • Edit or archive artworks from an artists project they are not assigned to
  • Publish artwork entries to the public

Ideal for: senior research staff, project managers, proof readers (allowed to make corrections)

Admin: the final approval

The user role with the all editing capabilities as well as publishing capabilities is essential for a project planning a public archive or catalogue.

Admins CAN

  • Edit or archive any entity in any status (Draft, Ready or Checked)
  • Edit artworks from any artist project
  • Publish artwork entries to the public
